Bungendore Veterinary Surgery, Queanbeyan Region NSW (Posted 6th January) Practice Manager
Practice Manager
Come and join our wonderful team! Bungendore Vet is a busy mixed veterinary practice dedicated to providing high-quality care for both companion animals and large animals. Our team of skilled professionals is committed to delivering exceptional veterinary services in a supportive and efficient environment. We pride ourselves on our collaborative culture and unwavering commitment to excellence in animal care.
We are seeking a dynamic and experienced Practice Manager to oversee the daily operations of our busy mixed veterinary practice. The ideal candidate will be an organized leader with strong management skills, capable of handling both administrative tasks and client interactions with professionalism and empathy. This role requires a deep understanding of veterinary practice operations, team leadership, and the development of clinic protocols. However, a background in the veterinary industry is not essential, and any candidate with practice management skills will be considered. A key aspect of this role will involve introducing staged inductions to optimize practice efficiency and enhance patient care.
Key Responsibilities:
- Operational Management: Oversee the daily operations of the practice, ensuring smooth and efficient workflow. Manage scheduling (including the nurse and vet rosters), staff assignments, and resource allocation to maintain high standards of patient care and client service. Hold regular meetings with reception coordinators and nurse managers to ensure the efficient day to day running of the practice. Run weekly staff meetings.
- Protocol Development: Develop, implement, and regularly update clinic protocols and standard operating procedures (SOPs) to ensure consistency, compliance, and high-quality care. Collaborate with veterinary staff (in particular our nurse managers and reception coordinators) to create and refine best practices for various clinical and administrative processes. Also oversee the development of written role descriptions for all roles within the practice. Ensure these role descriptions are kept up to date.
- Staged Inductions: Introduce and manage staged inductions for new staff and processes to ensure a smooth transition and integration into the practice. Design and implement structured training programs that include phased introductions to different aspects of practice operations, enhancing staff competency and confidence.
- Staff Supervision: Lead, mentor, and support a diverse team of veterinary professionals, including veterinarians, nurses, and support staff. Conduct performance evaluations (oversee quarterly check ins and perform annual reviews), provide ongoing training, and foster a positive and collaborative work environment. Act as a mediator for staff if there are concerns or disagreements between colleagues and/or clients. Oversee the hiring of new staff including staff acquisition, interviews, and salary discussions.
- Client Relations: Ensure exceptional client service by addressing client concerns, resolving issues, and promoting client satisfaction. Develop and implement strategies to enhance client experience and retention.
- Compliance and Quality Control: Ensure compliance with veterinary regulations, health and safety standards, and practice protocols. Implement and monitor quality control measures to maintain high standards of care.
- Marketing and Community Engagement: Develop and execute marketing strategies to promote the practice’s services and engage with the local community. Participate in community events and outreach programs to build and maintain the practice’s reputation. Manage the clinic’s Facebook page and ensure regular relevant content to enhance client engagement. Develop and implement a monthly newsletter.
- Inventory Management: Oversee inventory control, including ordering and stocking medical supplies, pharmaceuticals, and equipment. Ensure the practice is adequately stocked and that resources are utilized efficiently. We have a clinical director and a senior nurse currently providing exceptional inventory control and ordering so the practice manager would only be required to oversee in this role.
- Technology and Systems Management: Manage practice management software and technology systems to streamline operations and improve efficiency. Troubleshoot technical issues and oversee system updates and maintenance.
Qualifications:
- Proven experience in a managerial role within a veterinary practice or similar healthcare setting.
- Strong knowledge of veterinary practice operations, team management, and protocol development.
- Demonstrated experience in developing and implementing clinic protocols and training programs.
- Excellent leadership and interpersonal skills with the ability to motivate and manage a diverse team.
